Shipping Information

Xerographic Supply & Equipment does our best to ship out the day an order is received. To best ensure this happens please have all orders in by 4pm est. Below are some issues that may delay shipment of your item(s).

 

We will make every attempt to notify you of potential issues as soon as they're available to us. We do this before payment is processed so if need be, you can cancel the order at your convenience without the hassle of getting charges credited back to you.

 

As of right now we do not accept orders out of the continental United States. You may use the contact us link to see if we can make an exception for you.

  • All orders are subject to billing and address verification for security purposes prior to shipping. This step is taken to protect our customers from identity theft and credit card fraud.
  • We will contact you via email or phone if billing and address verification was unsuccessful. Incorrect billing information or unsuccessful address verification might delay the delivery date.
  • In the unlikely event that an item is on back order during order verification, we will notify you via email or phone to provide you with either a substitute item or available date.
  • If the SHIPPING address is different from the BILLING address, please contact your credit card company to add the SHIPPING address as an alternate approve SHIPPING address on your credit card memo/notes.
  • We cannot specify exact delivery time by UPS/FEDEX, please make proper arrangement to receive item at your location. Tracking number will be provided via email. Failure to receive item is beyond our responsibility.
  • We do not guarantee same day shipping, however if the order arrives by 4pm est, we will do our best to ensure it ships that day.
  • Orders are not processed during the weekends or after 5pm est on weekdays.
  • The expected delivery dates are applicable only to United States orders.
  • If you are paying using PayPal, please be sure that your shipping address is a CONFIRMED shipping address at PayPal. We only ship to PayPal CONFIRMED shipping address.

Return Policy

General Return Information

  • Credit will not be given until the product in question has been received back by Xerographic Supply & Equipment.
  • Freight will only be credited for Xerographic Supply & Equipment errors. All such returns must be sent back freight pre- paid. Any returns that are sent back freight collect will be refused.
  • Short shipments and wrong item shipments must be reported to Xerographic Supply & Equipment within 5 days of receipt.
  • Requests for returns resulting from Xerographic Supply & Equipment errors must be made within 5 days of receipt. Product that is returned without an associated RA, and returned product that was not originally purchased from us will be returned to you at your expense.
  • All orders placed for non-stocking items cannot be refused, cancelled, or returned.
  • All RA's must be returned to us within 14 days of the RA date.
  • Any accepted RA must be returned in its original packaging and must include all accessories it came with.
  • Any request for an RA due to a damaged shipment must be reported to us within 5 days of receipt and the item must have been signed for and notated as damaged when you received it. No credit will be given if it wasn't notated upon receipt as damaged.

Toner/Consumable Return Information

 

All toners and consumables are only returnable if defective or if an incorrect shipment was made to you. If you ordered incorrectly and would like to return the toner or consumable you ordered, there will be a 30% restocking fee and the item must be unopened and in its original packaging for a credit to be given.

 

  • All claims of a defective toner/consumable must be made within 30 days of the order date. You will receive a RA number plus a shipping label to return the defective supply. 
  • All defective items are inspected and tested upon return. If the item is working correctly no credit will be given and we will ship it back to you at your expense.
  • All incorrect toner orders returned will be weighed upon return. If found to be used, no credit will be given and it will be shipped back to you at your expense.

Office Equipment & Accessories

 

All office equipment & accessories products are considered nonstocking items and no return, refund, or exchange will be considered for them. The one and only exception is in the case of an incorrect shipment on the part of Xerographic Supply & Equipment.

 

  • All office equipment we sell you comes with a warranty. Contact us immediately if any office equipment we sold you doesn't work and we will get with the manufacturer to make sure a techician from the manufacturer contacts you as soon as possible.
  • Most manufacturers of office equipment will not accept returns from us until they've been contacted and worked with the end-user to repair the issue. We will be more than happy to assist you with the manufacturer, but in the end, the only way the manufacturer will approve a return is if they've exhausted every possibility of repair with the end-user.

Website Updates

We update this site as frequently as possible with the newest pricing available from our vendors. This can, on occasion, result in pricing discrepancies if someone is placing an order in the middle of the update. On the rare occasions this occurs, we will notify you of the price difference via email, and ask if you wish to continue on with the order on the new pricing. We apologize for any inconvenience on this policy.
