How do I delete sensitive data from my Phaser 3635MFP?

Solution : Perform an On Demand Image Overwrite (ODIO)

Image Overwrite Security protects against unauthorized retrieval of confidential data from the machine by removing image data that is left when jobs are processed. On Demand Image Overwrite provides a convenient method for system administrators to erase image data from the machine using a three-pass algorithm specified in the United States Department of Defense Directive to overwrite areas of the machine's image disk. Administrators can perform the overwrite directly at the machine Control Panel.

There are two options for On Demand Image Overwrite: Standard and Full Overwrite. Standard ODIO will overwrite all jobs stored in image data as well as fax card image data, fax phone book fax mailbox, Poll store (mailbox 0) and Dial Directory information, or folders created with the Save Job for Reprint feature, if these features are installed on the machine. Standard overwrite takes about 15 minutes. Full overwrite takes approximately 60 minutes to complete, but could likely take longer depending on usage of the hard drive.

NOTE: Full ODIO will overwrite and delete all fax image data, including mailboxes, Poll store and dial directories on the fax card. Full ODIO will also overwrite any images that have been stored in folders created with the Save Job for Reprint feature. When On Demand Image Overwrite is initiated, the machine is taken offline until the overwrite is completed. Any existing jobs in the queue are terminated, including print, fax and LAN fax jobs.

NOTE: Overwrites can also be performed on a per-job basis, immediately after each job has been processed, using Immediate Image Overwrite. See the Related Items below for additional information.

CAUTION: The machine should not be in Diagnostics mode when the overwrite is started. (The Touch Screen indicates a status of "Diagnostics Mode". This mode is used by Customer Service Representatives when servicing the machine.)

Do not power off the machine while an overwrite is in progress.

To perform an On Demand Image Overwrite from the Control Panel:

  1. If the Image Overwrite feature has not already been enabled on the machine, insert the Feature Enablement Key:
    1. Press the [Log In / Out] button on the Control Panel.
    2. Enter the password using the numeric keypad, and then select [Enter] on the Touch Screen.

      NOTE: The default password is "1111". It is recommended that the System Administrator change this password. For additional information, press the [Help] button on the Control Panel.
       
    3. Press the [Machine Status] button on the Control Panel.
    4. Select the [Tools] tab on the Touch Screen.
    5. Select [Security Setting].
    6. Select [Image Overwrite Security].
    7. Select [On Demand Overwrite].
    8. Select the [Standard / Full Overwrite] button to switch between the two options, and select the required option.
    9. Select [Overwrite Now].
    10. If Full overwrite was selected, select [OK] to confirm the choice and continue. The Overwrite Confirmation screen will be displayed. The machine will be taken offline and will be unable to receive any incoming jobs. The Image Overwrite will proceed to overwrite all image data on the hard disk. 

      NOTE: If Embedded Fax is installed, all Embedded Fax compact flash data will also be overwritten.

      To cancel the overwrite procedure, select [Cancel]. Enter the Administrator password, and then select [Enter]. The overwrite procedure may have already started at this stage but will return to normal operation. Select [Back].
    11. When the overwrite is complete, the On Demand Image Overwrite completion screen will be displayed.
    12. Select [Close]. The Disk Overwrite Confirmation Report will print. This details the status and time of the overwrite. The Network Controller will then reboot and network functionality will be unavailable for several minutes.

      When the machine has rebooted, verify that the overwrite operation has completed by viewing the Confirmation Report (under Confirmation Details). The Job Information: Status ESS Disk parameter should read "SUCCESS".

Our company has about 20 X3635 models.  Only 4 or 5 have the On Demand option when I login and got to Security.  Any thoughts ? I am not sure how to proceed.

 

Of all the multifucntion Xerox printers we have I have run into this issue with the 3635 and 4250 models.
